Sessions

Document the session once and it reaches everywhere it’s needed

Attendance, notes and goal progress on one screen built for the minutes between sessions. A specialist documents from their phone on the same day, and the child’s file and goal progress update without paper, spreadsheets or WhatsApp messages.

What happens to a session note after it’s written?

In many centers the note goes on paper, then into a spreadsheet, then into a WhatsApp message to a supervisor or a parent. Something is lost at each step: a detail, a number, the sentence the next specialist would have needed.

The result is documentation that piles up until month end and gets written from memory, and a manager who can’t tell what actually happened.

What you record on the session screen

You open the child’s file and start a new session, and the things you document are in one place:

  • Attendance: whether the child came to the session
  • The note: what happened and what you worked on
  • Goal progress: the result against the child’s active goals

The session is tied to the child’s goals

Each session is logged against the child’s active goals, so goal progress updates without a separate file to return to after every session. When report time comes the data is already there, so no one rebuilds the period from memory.

Recording is only as useful as the goal is measurable. Our guide to writing measurable therapy goals explains how, and the therapy goals page shows how goals are managed.

Your own notes, and what parents see

What you write for the team stays inside the center, and you decide what a parent sees. A session summary can be published to the family through the parent portal, while internal notes stay with the team.

Aghsan can also turn your quick input into a clear session note and a parent-friendly summary, with the help of AI. The specialist reviews and edits everything, clinical decisions stay with your team, and children’s clinical data is never used to train AI models.

Sessions and appointments: what’s the difference?

An appointment is what you schedule: who sees the child, when and where. A session is what you document once it has happened. The two work together: an appointment’s status, such as completed, cancelled or missed, is what decides in many centers whether a session is deducted from a child’s package, according to the center’s policy.

Scheduling is covered on the appointments page, packages and invoices on the billing and packages page. For online sessions, an appointment can be linked to Zoom as the Zoom guide explains.

What managers and supervisors see

A center manager can see who has documented their sessions and who hasn’t yet, without daily reminders. Aghsan also points to missing documentation and to goals that have slowed down, so the conversation with the team starts from data.

Roles control who sees what: a supervisor or clinical director can review their specialists’ documentation without every staff member seeing everything, and Aghsan keeps an audit log.

What sets documentation in Aghsan apart

A short, simple screen

Attendance, note and goal progress in one place, with no long training.

Tied straight to goals

A session is logged on the active goals, so their progress updates itself.

Notes for the team

What you write for the team stays inside the center, and you decide what families see.

The child’s history in one place

Each documented session joins the child’s file, so a new specialist can see what came before.

From your phone, on the day

Specialists document right after the session instead of saving it all for month end.

Oversight without chasing

Managers see who has and hasn’t documented, and are alerted to gaps.

Frequently asked questions about session documentation

Can a specialist document from their phone?

Yes. The screen is built so a specialist can document on the same day from their phone, rather than saving it all for month end.

Do parents see my notes?

No. A parent sees only what your center chooses to publish. Internal notes stay with the center’s team.

What’s the difference between an appointment and a session?

An appointment is the schedule: who sees the child, when and where. A session is the documentation: attendance, the note and the goal results. The two pages work together.

Does AI write my notes?

Aghsan can turn your quick input into a draft note and a summary for the family, but the specialist reviews and edits everything. We don’t use children’s clinical data to train AI models.

Can a supervisor review specialists’ documentation?

Yes, according to the roles and permissions your center sets, so a supervisor or clinical director sees what falls under their responsibility.

Does documenting sessions affect billing?

Pricing is per active child per year, and a child counts as active if a session, assessment or report is recorded for them during the billing year. Pricing details are on the pricing page.
